The calculator combines published exhibitor handbooks from major European fairs, AUMA-aligned market data on stand construction, and direct input from vetted builders in our directory. Space rental rates use the fair's tier (S-class fairs like Hannover Messe and EuroShop sit higher than regional shows). Build costs reflect rates per square metre for modular, hybrid, custom, and double-decker construction at standard, premium, and flagship finish levels.
Position multipliers reflect the premium charged by venues for booths with more open sides. Freight, AV, hospitality, and staffing are layered as separate line items so you can see exactly where the budget goes. VAT is applied last at the rate of your selected billing country.
What this is not: a binding quote. Two builders looking at the same brief routinely vary by 20-30 percent on identical specifications because of workshop location, capacity that week, and the materials they happen to have in stock. Use this output to set a planning budget; use /rfq to get binding proposals from real builders.

Three drivers dominate. First, the fair itself: hall rates vary from around 400 to 700 euros per square metre. Second, build complexity: a modular system runs 350 to 650 euros per square metre, a custom flagship can pass 2,000. Third, services: AV, hospitality, freight, and staffing routinely add another 30 to 50 percent on top of space plus build.
Pre-show marketing, lead-capture software, badge scanning rentals, exhibitor passes, hotel and travel for your team, on-stand catering beyond a basic hospitality zone, and any post-show storage. Most exhibitors add 10 to 20 percent on top of the calculator total to cover these items.
